Policies and Procedures

Traveling to the U.S.​

Participants should apply for the B-2 tourist visa (citizens of some countries may not need visa stamps but will need pre-approval through the ESTA system) which allows for brief stays—usually less than six months—that may include participation in a short recreational course of study, not for credit toward a degree. ​

Consult the US. Embassy or consulate in your country if you have any questions about visas, country-specific policies, or the necessary documentation for your visit.

Chaperones

  • Chaperones are assigned on a 1:7 ratio (for example, a program sending 10 students should send 2 chaperones).
  • Chaperones must be registered through the HGS registration page. Individual room accommodations and daily travel are free of charge to chaperones, according to the 1:7 ratio.
  • If additional chaperones would like to attend, please contact the program lead at StudyTours@HudsonGlobalScholars.com.
  • The cost for travel to the U.S. and any non-included meals are the responsibility of the individual chaperone/school.
  • Chaperones must carry medical power of attorney for all students for whom they are responsible.

Expectations for Student Conduct

Hudson Global Scholars expects the highest standards of behavior both in deportment and in dedication to academic pursuits.

Students are expected to:

  • Strive to do the best work possible.
  • Respect individuals of all races, cultures, religions, genders, gender identities or expressions, ages, sexual orientations, abilities, and national origins.
  • Respect the ideas and property of others and ensure that those around them do the same.
  • Behave in a friendly, cooperative, safe, and responsible manner to all people in the PCD community and to people in host institutions and local communities facilitating PCD programs.
  • Attend all class sessions and any scheduled in-person events, including meals, social activities, and meetings.
  • Take responsibility for their own work and actions.
  • Obey all US, state, and local laws and ordinances.
  • Cooperate with HGS staff supervision.

HGS may amend this Code from time to time. Nothing in this Code shall affect the inherent authority of HGS to take such actions as it deems appropriate to further the educational mission of HGS or to protect the safety and security of the HGS community.

Special Needs

HGS welcomes participants of all kinds and makes every effort to accommodate a student’s special needs. Any special food needs will be identified at the time of registration. If you have other specific needs, please reach out to the program lead at StudyTours@HudsonGlobalScholars.com ahead of registration to ensure accommodation is available.

Carrying Money

Students carrying money should be advised to keep cash in a safe place, such as a money belt or wallet in a secure pocket. Where possible, it is best for travelers to carry only what they may need for the day, and to secure the rest of their cash in their luggage. For international travel, you may take a credit card or bankcard that can be used at international ATMs. Remember to check with your credit card company or bank to make sure your card will work overseas. Travelers checks are not recommended and are not allowed for minors.

Cancellation

If for any reason we must cancel your experience week, your deposit will be refunded in full.
